Certification Management System

The Certification Management System provides a centralized platform for managing certifications and compliance documentation for raw materials, suppliers, and finished products.

The system was originally developed to support OEKO-TEX® Standard 100 certification, which requires finished products to be linked to valid certificates for the fabrics, elastics, trims, and other materials used in production. It has since expanded to support additional compliance requirements, including REACH documentation, supplier affidavits, customer-specific certifications, and other regulatory or sustainability records.

Before the system was implemented, certificates and supporting documents were scattered across emails, spreadsheets, shared drives, and individual departments. Expiration dates were tracked manually, product-to-material relationships were difficult to verify, and preparing documentation for audits required significant time and effort.

The application creates a single source of truth for certification data by maintaining structured records for suppliers, raw materials, finished products, certification types, effective dates, expiration dates, approval status, and supporting documents. Materials can be linked to multiple products, and products can be traced back to the certifications associated with each component.

Automated expiration tracking and renewal reminders help prevent certificates and affidavits from lapsing. Searchable reports provide compliance teams and auditors with the documentation needed to verify product eligibility quickly and consistently.
